This Privacy Policy explains how SOLVED - FZCO collects, uses, stores and shares personal data when you use stock.ex.gold.

For personal data we collect directly from account users, website visitors and prospective customers, SOLVED - FZCO is generally the data controller or equivalent responsible party.

For personal data that a business customer enters into stock.ex.gold about its own customers, suppliers, staff or contacts, that business customer is generally the controller of that data, and SOLVED - FZCO processes it on the customer’s behalf to provide the service.

2. Scope of this Privacy Policy

This Privacy Policy applies to the stock.ex.gold website, application and related services.

It does not currently cover end-user accounts on the wider ex.gold marketplace. If ex.gold later offers buyer accounts, public marketplace accounts or other consumer-facing services, those services may have their own privacy notice or this Privacy Policy may be updated.

stock.ex.gold is intended for business use. It is not intended for children or for personal, household or consumer use.

3. Personal data we collect

The personal data we collect depends on how you use stock.ex.gold.

Business and store data Business address, store contact details, public store information, logo or profile images, marketplace-related uploaded images and business configuration.
Login and authentication data Login identifiers, authentication status and related security information. Authentication is handled through Google Cloud/Firebase. We do not store your password directly.
Billing and subscription data Plan, subscription status, billing email, payment status, invoices and payment metadata. Payments are processed by Stripe. We do not store full card details.
Inventory and business records Inventory records, metal purity and weight data, gemstone quantity and weight data, stock movements, invoices, repair job details, supplier records and audit history.
Customer and supplier data entered by users Customer names, supplier names, contact details, addresses, invoice details, repair details and other records added by your business users.
Communications data Emails, demo requests, support enquiries, booking details, customer notification settings and WhatsApp phone numbers used for notifications. We do not currently store WhatsApp delivery status.
Technical and usage data IP address, browser type, device information, pages viewed, session information, log data, approximate location, error logs and analytics data.

4. How we use personal data

We use personal data to provide, secure, operate and improve stock.ex.gold. Depending on your location, our legal basis may include performance of a contract, legitimate interests, compliance with legal obligations, consent, or other lawful bases recognised under applicable data protection laws.

  • To create and manage user accounts.
  • To provide inventory, invoicing, repair booking, reporting, audit and marketplace-related functionality.
  • To process subscriptions, billing, invoices and payments through Stripe.
  • To send operational emails, invoices, repair updates, system messages and service notifications.
  • To send WhatsApp notifications where your business chooses to use that feature.
  • To provide support, respond to enquiries and manage demo bookings.
  • To detect, prevent and investigate fraud, misuse, security incidents and unauthorised access.
  • To monitor performance, fix bugs, improve features and understand how the website and application are used.
  • To comply with applicable legal, accounting, tax, regulatory and dispute-resolution obligations.

We do not currently send marketing newsletters. If we introduce marketing communications later, we will provide a clear way to opt out where required.

5. Customer and supplier data entered by your business

stock.ex.gold allows business users to add records about their own customers, suppliers, invoices and repair jobs. This may include names, contact details, invoice information, repair details and related notes.

For this data, your business is generally responsible for deciding what personal data is entered, why it is entered, how long it should be kept and whether the person has been properly informed. We process that data to provide the stock.ex.gold service to your business.

You should not enter personal data into stock.ex.gold unless your business has a lawful reason to do so and has provided any privacy information required by applicable law.

6. How we share personal data

We do not sell personal data. We share personal data only where needed to operate stock.ex.gold, provide requested features, comply with law, protect our rights, or complete business transactions such as payment processing.

We may also share data with professional advisers, insurers, regulators, courts, law enforcement or public authorities where required or permitted by law.

7. International transfers

We operate from the United Arab Emirates and use service providers that may process data in other countries. This means personal data may be transferred to or accessed from countries outside your country of residence.

Where required by applicable law, we use appropriate safeguards for international transfers, such as contracts, data processing terms, approved transfer mechanisms, or other legally recognised safeguards.

8. How long we keep personal data

We keep personal data only for as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide the service, meet legal obligations, resolve disputes, maintain security and keep business records.

Operational retention rules to implement

Do not publish retention periods unless the product and operations follow them. The periods below are practical defaults you should implement or adjust before go-live.

Security and application logs Kept for up to 12 months unless a longer period is needed to investigate security, fraud, misuse or technical incidents.
Backups Retained for up to 90 days, then overwritten or deleted as part of the normal backup cycle.
Google Analytics data Retained according to the analytics retention settings configured for stock.ex.gold.

We may retain limited information for longer where required to comply with law, enforce agreements, prevent abuse, resolve disputes or protect our legal rights.

9. Cookies and analytics

We use cookies and similar technologies to operate stock.ex.gold, keep users signed in, secure the service, remember preferences and understand how the website and application are used.

We use Google Analytics to help measure website and product usage. Google Analytics may collect information such as device information, browser details, pages viewed, approximate location and interactions with the website or application.

Where required by law, we will ask for consent before using non-essential analytics or marketing cookies. You can also control cookies through your browser settings.

10. Security

We use technical and organisational measures designed to protect personal data against unauthorised access, loss, misuse, alteration and disclosure.

These measures may include access controls, authentication, encryption in transit, infrastructure security, logging, monitoring, backups and restricted access to production systems.

No online service can be guaranteed to be completely secure. You are responsible for keeping your login credentials secure and for ensuring that users within your business access stock.ex.gold only where appropriate.

11. Your privacy rights

Depending on where you are located, you may have rights in relation to your personal data. These may include the right to request access, correction, deletion, restriction, objection, portability, withdrawal of consent, or information about how your data is used.

If you are a customer, supplier or contact of a business that uses stock.ex.gold, your request may need to be handled by that business because it controls the relevant customer or supplier record. Where appropriate, we will help our business customer respond to your request.

If you believe your rights have not been respected, you may also have the right to contact your local data protection authority or regulator.

13. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. When we make changes, we will update the “Last updated” date above.

If we make material changes, we may provide additional notice, such as by email or through the application.
